Dashboard and Organisation

  • Maps list appears on the right side of the dashboard

  • Search bar lets you find maps by name

  • Spaces work like folders, useful for separating different clients

  • Tags can be applied across multiple maps and spaces (e.g., tag all "marketing" maps to view them together regardless of client)

  • You can combine search, spaces, and tags together for filtering

Viewing and Creating Maps

  • Click anywhere on a map to open it

  • Click Create New to start a fresh map

  • FixFlow Mode is the current map-building option, a linear, structured process ideal for client calls

  • Canvas Mode is a visual freeform canvas (for non-linear planning) coming soon

  • Add a title, description and click Start from Scratch

Inside a Map

Left Sidebar

  • Map Summary: view title, description, purpose, currency, overview stats (steps, people, tools, time/cost), plus organization settings (spaces and tags)

  • FixFlow: run AI analysis reports (automation or delegation)

  • Errors and Issues: flags missing data (time, cost, etc.); click an issue to jump directly to the step that needs attention

  • Save: maps auto-save, but if you see an orange indicator with a cross, click to manually save

Main Canvas

  • Triggers sit at the top and start your workflow

    • Manual triggers: time-based or decision-based actions you initiate

    • Event triggers: external actions (e.g., customer submits a form)

  • Steps appear below triggers, showing step type, title, description, tools, people, time, and cost

  • Drag and drop steps to reorder them

  • Click the + button to add new steps

  • Undo/redo buttons available on the top-left

Step Types

  • Manual Task: a human performs an action (creating, communicating, data entry, research, or other)

  • Automated Task: a system performs an action without human intervention

  • Approval Required: someone needs to approve something

  • Meeting: multiple people come together to discuss something

  • Delay: a waiting period in the process

  • Decision Point: branches the workflow into different paths

  • End Process: the final step defining the outcome

Adding Details to Steps

  • Assign a person (type their name to create or select)

  • Add a description of what happens

  • Select or add tools (search existing tools or click "Add Custom Tool" if yours is not listed)

  • Add reference links (videos, SOPs, guides)

  • Add time and cost data (recommended to save this for the end of client sessions to avoid getting stuck on calculations)

AI Reports and Analysis

  • Access via the FixFlow button in the left sidebar

  • Two report types:

    • Automation Report: suggests how automation could improve the process

    • Delegation Report: identifies tasks that could be handed off to free up the founder's time

  • Click Run FixFlow Analysis to generate a report (approximately 30 seconds)

  • Reports include an executive summary, step count, issues found, potential savings, and key findings

  • A downloadable PDF version of the report will be coming soon

Credits

  • Reports use a credit system (1 credit per report)
