Triggers

Every workflow starts with a trigger. The trigger sits at the top of the canvas and defines what starts the process. Click "Add Trigger" to add your first one.

There are two types: Manual and Event.

MANUAL TRIGGER

A Manual trigger is something a person in your organisation deliberately decides to do. It might be time-based (every Monday morning) or decision-based (whenever a new lead comes in and you decide to act on it).

Use Manual triggers when a human consciously initiates the process.

Examples:

  • "Process weekly invoices" (happens every Friday)

  • "Begin new client setup" (happens when a contract is signed)

  • "Send monthly newsletter" (happens on a schedule)

Fields to complete:

  • Title: name of the trigger

  • Who starts the workflow: the person or role responsible for initiating it

  • What instructions should they follow: any guidance for the person starting the process

  • Tool (optional): any software involved at this point

  • Reference link (optional): link to an SOP, checklist, or guide

EVENT TRIGGER

An Event trigger is something that happens externally and automatically kicks off the process. The process begins because of something outside your direct control.

Use Event triggers when the workflow starts because something arrives or fires automatically.

Examples:

  • "Google review received"

  • "Website enquiry form submitted"

  • "Payment confirmation email received"

  • "New Typeform response"

Fields to complete:

  • Title: name of the event

  • Description: what the event is and where it comes from

  • Tool: the system where the event originates. Add the tool from the library or create a custom one if it is not listed

  • Reference link (optional)

Note: the panel confirms "This workflow starts automatically when the event fires."

MULTIPLE TRIGGERS

You can add more than one trigger to a workflow if the process that follows is identical regardless of how it starts. For example, a new client enquiry might arrive by phone, email, or website form, but the steps you take in response are the same for all three. Add all three as triggers connecting to the same first step.

Only use multiple triggers when the downstream process is genuinely the same. If different entry points lead to meaningfully different workflows, map them as separate maps.

ADDING A TRIGGER

Click the "Add Trigger" button at the top of the canvas to add your first trigger. You can add additional triggers using the + button that appears alongside the trigger area.
